Dispute files

Structure of a file, carrier templates, missing-evidence list, second rounds, trucker back-charges, exports.

Structure

  1. Header: container, B/L, carrier, invoice number, amount invoiced, amount computed, amount disputed.
  2. Timeline with sources and the computation's chosen timestamps.
  3. Clause check: each term, the clause quoted with page, applied value, invoice value.
  4. Day-by-day calendar for the chargeable period with exclusions marked.
  5. Arithmetic: tiers, rates, currency.
  6. Missing evidence: item, why it matters, who holds it, contact if known.
  7. Letter draft in the carrier's template.
  8. Attachments list in the carrier's required order.

Carrier templates

Portal-form field maps, email subject/body conventions and attachment order for the major ocean carriers. Add your own under Settings → Templates. The draft uses the template for the invoicing carrier.

Responsibility splits

When the timeline shows a trucker handover, days after handover are allocated to the trucker where the contract and haulage terms support it. Two drafts are produced: carrier dispute for the carrier's days, trucker back-charge for theirs.

Second rounds

Forward the carrier's reply. The stated ground is extracted and checked against the booking, contract and timeline. A response is drafted; if the ground is valid, the file recommends closing and records the reason.

Credits

Upload the credit note; it is matched to the dispute by invoice number and amount and the tracker status moves to credited.

Exports

PDF of the file with attachments; CSV of the tracker; TMS note text. API on Enterprise.
